This guide explains the integration between RedSky and Voxme Estimator survey tool which allows users to send leads and shipper information to Voxme and to download the survey information back into RedSky.
Overview
Voxme Estimator allows the surveyor to work on a tablet device such as an Apple iPad to conduct on-site surveys efficiently. The RedSky - Voxme Integration is two-ways. The lead/client information entered in RedSky Customer or Quote File is transmitted to Voxme. The reverse integration with RedSky ensures that the item and access information gathered at the survey is seamlessly available to move managers and operations. Sending RedSky data to Voxme
Users can send out the shipper details to the surveyor for both quotes and a customer file.

User can send the basic information of a shipment to Voxme Estimator using Quotation files or Customer files for booked jobs. When a user clicks on the Send to Voxme button as displayed in Figure 1 (see Annex for configuration), RedSky sends the customer information in an email to the surveyor’s email address.
The Surveyor's email address is picked from the surveyor user profile in RedSky as shown in Figure 2. The same email address needs to be registered on Sales Person’s iPad.

Once the email is received on the iPad, in the email Sales person finds an attachment. When the user touches on the attachment, on the top right-hand corner there is an option to ‘Open in Voxme Estimator’ which allows the survey details are downloaded into the Voxme application. Clicking on the attachment will display a screen as shown in Figure 2B.

Sending information from Voxme to RedSky
Once the information is downloaded in Voxme, the user will be able to see the basic information transferred from RedSky to Voxme.

The Sales Person completes the survey in Voxme and after that, he/she can take customer signature and send out the information. When the Survey details are sent, based on the setting of the Voxme (see Annex) the email will be directed to ‘voxme@redskymobility.com’.
After the email has been received by RedSky, the survey details are processed in RedSky.
Integration in RedSky
The Survey information will be downloaded into RedSky and processed under the Quotation / Customer File under the ‘Survey Details ‘Tab.

In the Survey Details tab, all the access information and survey details will be downloaded along with photographs which were taken.
For the Access Info, there will be two sections one for Origin and another for Destination as shown in Figure 4 and figure 5. When pictures are taken at the survey, clicking on the camera icon in the inventory detail will display the picture.

In the Survey data section, there are two tabs – survey and materials.
Survey data ? all the survey-related data e.g. room, article, mode, weight/Volume, etc.

Any photos taken against the survey item can be viewed by clicking on the camera icon against the item as shown in Figure 7. This icon will be visible against the item only if there is picture taken for it during the survey.

The survey details can be further viewed by clicking on item in the, Survey Data section as shown in Figure 8

Materials ? All the materials estimated during survey
All the materials estimated during survey will be stored in the material tab as shown in Figure

Transfer Survey Information to Service Order
After the survey has been completed, Coordinator / salesperson creates quote file or service order against the order based on the different modes selected during the survey
After the service orders has been created, user can go Customer File ? Survey Data ? Survey Data and then click on button ‘Transfer Survey Data to Quotes’

When user clicks on this button, a pop up will come with details of service order and matching data based on the mode in the survey data which will be transferred against the survey

Once user clicks on ‘OK’ button system will transfer all the survey data / materials will be transferred against the service order

Also the above Total Volume & Weight will get populated in the Weight & Volume section of SO Details page which is as shown below –

Creating Pricing Lines in the Pricing with Weights & Volume Detail
User can add the Pricing lines as well in the Pricing section to send the Quote to the customer.

After pricing lines have been added, the Quotation can be send to the customer as a Quote form(s) which are visible under the Forms tab as shown below.

Materials Transfer Pack Tickets
The estimated materials need to be transferred against the pack work ticket as the same list can be given to the crew. This can be done by pushing the ‘Transfer Materials’ button.

Annex: Voxme Setup, Licensing & Configuration
A. Getting a new License of Voxme
To attain a new license please follow the below steps
Download the latest Voxme Estimator app from App Store (Ipad)/ Play Store (Android)
Open the Voxme Estimator app
Go to gear icon a Settings a User Registration
Enter the following
Enter the Company ID as (your corp id)
Enter Company name, website, telephone, Estimator name
Return email address a Voxme@redskymobility.com
Language, Units as English and whatever applicable in your case
Click on User registration
An email draft will be displayed. Please add Voxmesetup@redskymobility.com and click on send.
B. Setting up Voxme to based on Job Type
Voxme survey can be setup in RedSky based on job type and company division. This option can be selected using Administration ? Ref Job Type. Normally when a company has multiple Estimation Tools e.g. Quotes-to-Go for Vanline shipments and Voxme Estimator for others, then this configuration helps.
