Objective: To create the secure document in File Cabinet in RedSky.
- Open any Service Order and go to File Cabinet

- To secure a document, go to Administration -> Reference.
After that, in the Parameter field enter the document and select Search.
Against the Document Tab in the Parameter list select the ‘View List’ button.
- After that a Reference List will open containing different document types, as below:

- Select any document type (we have selected the Customs form document).
The reference Detail tab will open, in this tab enter the value as ‘Y’ for the Bucket field, as below:

- Now the document with Document Type as Customer Form has been secured.
- Now if you upload a document in the File Cabinet and select the Document Type as Customs Form, it will appear in the Secure Doc folder as below:

- The user is getting the message ‘You are not authorized to view Details’ is because the user is not assigned as a coordinator to the highlighted Service Order.
- Only the user which is assigned as a coordinator to this Service Order along with either of these roles:
ROLE_ADMIN,
ROLE_FINANCE,
ROLE_BILLING
will have access to the Secure Document.
In this example the service order is ‘STVF100307002’ which has the coordinator ‘M LINDBERG’ assigned with the role ROLE_Admin for username as ‘mlindberg’ will be able to access the document.
- Now while logging in, this user will be able to see the Secure Documents.

| User | What they see in the Secure Doc group |
|---|---|
| The Coordinator assigned to that Service Order (or the UNIP company) and holding ROLE_ADMIN / ROLE_FINANCE / ROLE_BILLING | Full access — can view, upload, edit, split, move to Waste Basket, view/print, and e‑mail the secure documents. |
| A user who holds ROLE_ADMIN / ROLE_FINANCE / ROLE_BILLING, but who is not the assigned Coordinator on that Service Order | Sees the Secure Doc group, but each document is hidden and replaced with: You are not authorize to view Details. |
| A user whose role is not ROLE_ADMIN, ROLE_FINANCE or ROLE_BILLING | Does not see the Secure Documents tab / secure documents at all (blocked at Layer 1) — being Coordinator does not override this. |
