Overview
This functionality allows RedSky companies to share information when working on common shipments. Specifically, the booking agent decides who the origin agents (OA) and destination agent (DA) will be for their move and an appropriate time will ‘link’ the service order with the overseas agent. The booking agent can only link with RedSky User Companies (RUCs). When a service order is linked, a corresponding service order is created for the RUC and the common information between the two service orders is synchronized automatically.
Certain fields will remain private between RS partners, i.e. but some will be common e.g. name, addresses, tracking dates, etc. The common elements will be automatically synchronized between partners and the private information to remain confidential to a CORPID.
Linking Service Order Steps
We’ll work with a scenario where the booking agent is VOER and they select VORU as the DA. The person booking the job will initiate the booking. Once they have the SO created with the Agents assigned the Booking Agent will have the capability to link with the partner records by clicking the ‘Link Up’ button next to the agent.
Earlier Ext SO# was empty but now a new Service Order # is created in the linked partner and it is displayed next to the EXT SO# field:
The “Link Up” button will be enabled when the following conditions are met:
The agent field is not empty
The agent is part of the RedSky family
Ext SO # is field is empty.
Additional Linking features
In Addition, Linking controls:
The origin agent controls origin-sub agent selection and linking
The destination agent controls destination-sub agent selection and linking
Integrated audits for common fields are available also to help investigate issues of common elements being changed.
“Link Up” will create a CF and SO for the RedSky identified partner and will keep the ext # in the Ext SO# field.
Synchronization
Subsequently, all the linked records between partners will be synchronized for the common elements whenever the service order information is updated. The details typically synchronized are:
Customer File: name, move by date, address details, entitlement.
Service Order Details: name, address details.
Status: all fields except agent Roles and storage
Forwarding: piece counts, container, vehicle and routing
Certain information is deemed private and is not synchronized between the linked service orders:
Billing
Work Tickets
Documents (except for documents being shared with external partners)
Accounting
Claims
UTSI Synchronization
For UTSI CMM/DMM accounts different synchronization rules apply where accounting information, accounts, etc. are also synchronized, please see CMM/DMM related functionality document for details.
