Overview
This document explains Operation processes supported in RedSky.
If you operated multiple operational hubs, you can set up operational hubs with affiliated warehouses to manage operations. It is assumed that resources are assigned to a designated warehouse but can be interchanged between warehouses belonging to a hub. Thus the hubs will be organized more along with geographical areas.
Once the hubs are designated, you can assign a daily operational limit of work tickets to indicate the maximum # of tickets a warehouse can handle as well as weights and volumes they can handle.
Here are the steps involved in order to view/ manage the Operations Management in RedSky.
Add Operational Hub and Warehouse
An Operational Hub is an area that contains more than one warehouse. Suppose a company has five warehouses W1, W2, W3, W4, and W5. Three warehouses are located in the vicinity of area X and another two in area Y. Then Area X is an operational hub with three warehouses W1, W2, and W3 and Area Y is another operational hub with two warehouses W4 and W5.
For operations management HUB and warehouses are first required to be added, under Administration? Reference and later hubs can be associated with the Warehouse.
List of operational hubs related to the company- OPSHUB
List of warehouses related to the company- HOUSE
After adding hubs and warehouses under Administration? Reference and later hubs can be associated with the Warehouse, using Flex1 and warehouse manager name can be assigned:
Operations Management
Local Operations -> Operations Management This menu provides options to manage the daily operational limit of tickets that can be handled by an operational hub.
Below are the supporting print screens showing how to set up the limits in the Red Sky:
In RedSky the concept of 'Warehouse limit' has been introduced along with the existing Hub limit. This will allow the user to identify all the warehouses belonging to a particular hub. Also, users can set the work ticket limits for the following 5 parameters on a particular warehouse.
Ticket Count
Maximum Estimated Weight
Maximum Estimated Volume
Daily Limit
Resource Limit
Selection of Hub/Warehouse:
Earlier users could set limits only for work tickets at hub level, now they can do so at individual warehouse levels also which will aggregate to a hub limit.
Users can choose Option 'By Hub' / 'By Warehouse'
A client can decide to configure RedSky to work by either Ops Hub or by Warehouses, by setting the option in System default.
Under 'Security' → 'System Default' → 'Operations' → Drop Down field 'Operation Mgmt', for a work ticket to behave accordingly i.e. according to Hub Limits / according to Warehouse Limits whichever selected by the user.
Thus, if a user has selected the option 'By Hub', the user will be allowed to create work tickets based on Hub Limits and if the user has selected option 'By Warehouse', the user will allow creating work tickets based on Warehouse Limits.
How to associate a 'Warehouse' to a particular Hub in the Section: 'Operations Management'
First, add the Warehouse via 'Administration' → 'Reference' → 'HOUSE' ref-master parameter → Add a new warehouse by entering the 'Hub Code' (already existing in the system) under the field 'Flex 1', 'Y' under field 'Bucket' and by entering a valid 'Description'. User will be only viewing the description field in the 'Operation Management' and under 'Warehouse' drop-down of Work Ticket and not the Warehouse 'Code'.
From 'Security' → 'System Default' → 'Operations' → Field 'Operation Mgmt', select option 'By Warehouse'.
Set the warehouse limits
Now from 'Local Operation' → 'Operations Management', click on the 'ADD' button and select the newly created Warehouse from the drop-down field 'Warehouse' and set the limits.
Clicking on the 'Save' button will complete the association of warehouse with hub and the same can be viewed by clicking on the tab 'Hub/ WH List'
Impact of “Calculate Limit Using Daily Average Weight/Volume” in RedSky Modules:
'Security' → 'System Default' → 'Operations' → 'Calculate Limit Using Daily Average Weight/Volume'
In case this field 'Calculate Limit Using Daily Average Weight/Volume' is checked then daily avg. weight/volume limit will be considered for the daily operations which means the number of days from the start date and end date of the ticket will divide the value of weight/volume in the ticket and this average weight/volume will be utilized from the daily average limit. For example, if the available daily operations limit is 50000 lbs and the ops user is adding the ticket of 75000 lbs spread over 3 days then that user will be able to create that ticket 75000/3 = 25000 lbs/ per day and 25000 lbs will be utilized from the limit of the daily operation for 3 days.
In case this 'Calculate Limit Using Daily Average Weight/Volume' checkbox is not checked then the weight/volume available in the ticket will be utilized for each day as the daily operations limit from the start date to the end date of the ticket. For example, if the available daily operations limit is 50000 lbs and the ops user is adding the ticket of 30000 lbs spread over 3 days then 30000 lbs will be utilized from the limit of the daily operation for 3 days. Similarly, the volume will be utilized from the limit of the daily operation.
Note: Limits are not applicable for the ops manager role so the user having the ops manager role can add as many as tickets irrespective of daily operations limit on the number of tickets and their weight & volume.
RedSky Modules getting affected from Field 'Operation Mgmt':
Users can see the impact of field 'Operation Mgmt.' on the following 2 sections of RedSky -
Reflection of selecting 'Operation Mgmt' on Section: Operations Management
If a company has selected Option 'By Hub' - List of hubs are presented in RedSky for a particular Corp-Id will be getting displayed under 'Local Operations' → 'Operations Management' as shown below :
If the user has selected Option 'By Warehouse' - List of hubs and warehouses associated with a particular hub will be getting displayed under 'Local Operations' → 'Operations Management' as shown below:
Users will be able to easily view which warehouse belongs to which hub. Also if the user updates 'Def limit', 'Estimated Weight' and 'Estimated Volume' of Warehouse, the 'Def limit', 'Estimated Weight', and 'Estimated Volume' of Hub will get updated automatically.
Hub's Def Limit count will be the Sum of Warehouse's Def Limit and Hub's own Def Limit count. For Example Hub ‘Dc-Metro’ has Def Limit as '70' i.e. 22 of 'Forestville' and ‘Dulles’ warehouse and 48 of its own Def Limit. Similarly, Hub's Maximum Estimated Weight and Hub's Maximum Estimated Volume are getting updated.
NOTE: For the warehouse having no hub, will get displayed on the top of Hub/WH List. For Example: Warehouse 'Eisenhower Avenue' and 'Logistics Work' are not having any hub.
Reflection of selecting 'Operation Mgmt' on Section: Work Ticket
If a company has selected the option 'By Hub' - The user will be allowed to create a work ticket based on Hub Limit.
For example: As option 'By Hub' has been chosen by the user, and Hub - 'DC-Metro' has Def Limit as 70, so the user will be allowed to create a maximum of 70 Tickets after selecting warehouse 'Dulles' (present under 'DC-Metro) with maximum estimated weight as 270,000 and with maximum estimated volume as 55,500.
Also, the user will be receiving mail regarding threshold reached 75 % as 75 has been entered by the user in the field 'Threshold' and most importantly user will be allowed to create the work ticket 2 days from today as 2 has been entered by the user in the field 'Min Days'.
If a company has selected the option 'By Warehouse' - The user will be allowed to create a work ticket based on the Warehouse Limit.
For example: As option 'By Warehouse' has been chosen by the user, and Warehouse - 'Dulles' has Def Limit as 10, so the user will be allowed to create a maximum of 10 Tickets with a maximum estimated weight as 27,000 and with maximum estimated volume as 4,500.
Also, user will be receiving mail regarding the threshold reached on 75 % and most importantly user will be allowed to create the work ticket from 2 days after the current date as 2 is entered by user in the field 'Min Days'.
NOTE: Users can set a daily limit on work ticket creation for a hub as well as for a warehouse. If in case user sets Warehouse/Hub Limit from the tab 'Operational/WH Management' as well as sets Daily Limit for Warehouse/Hub from the tab 'Daily Limit Control', then Work Ticket will get created on basis of Daily Limit set for the Warehouse/Hub and will be ignoring Warehouse/Hub Limit.
The operational limit for already added hubs can be set up here. There are 2 parameters to manage -- the # of tickets for the services like (Packing) PK, (Loading) LD, (Delivery Unpack) DU, (Delivery) DL, (Unpack) UP, (Packing Loading) PL that the hub can handle and the minimum service days that ticket can be handled. As soon as the threshold limit will reach, a warning message will appear in order to alert the warehouse manager that soon the limit for the hub will get exhausted and no more work tickets can be added for that hub.
Here in the example below for 5th July 2013, an exceptional daily limit has been set up for the HUB:
In case the work ticket addition limit exceeded for 5th July 2013, the system will not allow the user to add the work ticket and the following message will appear:
Once the threshold limit is reached the move managers will not be allowed to add more work tickets for that day. Only the warehouse manager will have the right to bypass the threshold limit for the hub and warehouse.
