Objective: This document provides an overview of the survey functionality provided in RedSky. There are three parts for this functionality:
Scheduling Surveys
Confirming Survey
Sales Person viewing surveys scheduled
Scheduling Survey: To assign a surveyor to a Customer File
The Schedule Survey button under the Customer file and the Quotation file is used to schedule the survey for the customer.
After creating a Quotation file or a Customer file, the user need to click on the “Schedule Survey” button in order to schedule the survey.
To schedule a survey the following information’s must be entered in the Quotation file or the Customer file:
Complete Origin Address
Job type
When user clicks on the “Schedule Survey” button, a pop up window will open up and by default the date range will be taken for one week from today’s date and the time range will be from 7:00 Hrs. to 18:00 Hrs.
The above page will display the list of surveys along with the Consultant names who are already scheduled for the specified date and time range.
Now the user needs to select the Consultant, the date for a survey, and the time of the survey as shown in the below screenshot:
After selecting and inserting the required information, the user needs to click on the “Confirm Appt” button in order to confirm the appointment.
When the user clicks on the “Confirm Appt” button, the system checks whether the same consultant is already booked for the survey on the specific date and time. If so then the system will give a warning message like the below:
In the above scenario, the consultant “LWONG” is already been scheduled for the survey on the same date and time range for a different Customer file or Quotation file as shown on the left hand side of the page.
After entering the appropriate information’s when the user clicks on the “Confirm Appt” button, the system will navigate to the Quotation file or the Customer file page and the information will be updated in the survey fields.
Once this is done, the user need to Click on the “Save” button at the bottom of the page.
Confirming Surveys: To send email confirming survey to client
Once the Quotation file or the Customer file is saved, the user needs to click on the “Send Survey Email” button.
Once the user clicks on the “Send Survey Email”, an confirmation email will be sent to the customer and to the consultant. The mail will be in the below format.
Sales Person Viewing Survey: Find surveys scheduled and put non-availability
The Surveys icon in the action bar is used to view the list of all the surveys that are scheduled for a specific date range and for assigned Consultants.
While creating a Customer file or a Quotation file, we get an option to fix the survey. At that point of time, we will insert the date, time of survey and even the Consultant who will do the survey.
When we click on the Surveys option, a pop up window will open up and by default the date range will taken for one week from today’s date (The user can also change the date range). It will display the list of surveys that are scheduled like below:
In order to open the survey map for a particular consultant, you are required to first select the consultant from the drop down menu and then click on the “Survey Map”.
Depending upon the Job type that you have allotted for the Consultant in the user set up, the map will show the surveys only for that Job type for that consultant.
For example, if for the Consultant “LWONG”, you have allotted ‘INT’ job in the user set up, so the survey map will display the map for the consultant where the job type is ‘INT’. For the remaining job type, the map will not be displayed.
In the above screenshot, we can see there are three surveys for LWONG. Out of which two surveys are for INT job type and one survey is of LOC job type. Since in the user set up for LWONG we have assigned ‘INT’ job type, so the survey map will display the map for only two surveys where the Job type is ‘INT’. Survey with ‘LOC’ job type will not be displayed in the survey map.
Also please note that, the survey map will display only those surveys that are scheduled between 07:00 Hrs to 18:00 Hrs.
After selecting the consultant and when you click on the “Survey Map” button, it will redirect to the below page:
In this page on the left-hand side, the list of Surveys will be displayed along with alphabets assigned to each survey and the map will be displayed on the right-hand side along with the pins.
When we click on the alphabets beside each survey, it will display the details such as Customer File Number, Name of the customer, and address. Also when we click on the pin in the map it will display few details as shown below:
