1. Introduction
The O&I tab is available only for the specific job type called Office Move.
When you will create any service order with the job type as 'Office Move', then the O&I tab will start appearing for that service order.
The O&I tab will appear as below:
1.1 Resources
Resources section would combine all the resources which will be required for the move like crew, material or equipment.
Let us go one by one to discuss all the features in the Resource section:
1.1.1 Add Resource Template
Clicking on this button will add all the resource templates which are created for the Resource based on the Billing Contract which you have selected for the service order.
From the template you can choose any resource category or multiple categories, enter data in field like Est. Quantity, Est. Hour, etc. Select the Save button at the bottom of this section to save the resource data.
1.1.2 Copy Order with Resource
Clicking on this section will create a new service order with the same resource data within the same customer file.
1.1.3 Transfer Resource to WorkTicket
Clicking on this button will create a work ticket with the resource data. You can fill in the details in the pop up window which opens when you click on this button.
Click on Create Work Ticket after which you will receive a message saying 'Resources Transferred to Work Ticket Successfully'. Now the work ticket number will start appearing against the resource.
1.1.4 Operations Details
This sections will display the resources which have been transferred to work tickets and all its details.
1.1.5 Copy Estimate
The copy estimate button will copy the work ticket data from Estimate section in Resource to Revision section.
1.1.6 Create Pricing
The create pricing button will fill the data of the resources into the pricing section below the resources section. Consequently account lines will also be added in the Accounting tab for the resources which were present under O&I.
1.1.7 Display WO
This will open a dialog which will allow us to view any number of work orders under the Resource section.
1.1.8 Add Resource
The add resource button will only add a new resource(WO) under the active list in the resource section.
1.1.9 Download Quote
The download quote button will give two options:
a) Download quote for work order - This will download the quote for Estimate section of the resource.
b) Download Revised Quote - This will download the quote for the Revised section of the Work Order.
1.1.10 Copy Work Order
This will create a new resource by copying one or multiple existing work orders using a checkbox.
1.1.11 Insert WO
This will Insert work order after any of the existing resources.
1.1.12 Consumables
The resource section also has field available for the calculation of Consumables for both Estimate and Revision.
The consumable value is only available for Crew and Vehicle category.
In the above screenshot, the consumable value of 5.5% is hardcoded for Private Party and since the Bill To code for this service order is a private party, the consumable section in green is calculated using the below calculation:
a) Estimate: 5.5% of 1430 = 78.65
b) Revenue: 5.5% of 986 = 54.23
1.2 Pricing
In the pricing section the pricing for all the work tickets which are present under the resources section will be created. The pricing section will categorize the pricing lines based on the work ticket numbers or WO#.
When the pricing lines are created, subsequently the accounting lines will also be created for similar pricing lines with the same charge codes and category.
Let us go one by one over all the categories of the pricing section:
1.2.1 Add Line
The Add Line button will add a new pricing line in the pricing section. In the new line we can fill in fields like category, charge code or vendor codes. Also the values for quantity, buy rate and sell rate needs to be filled up.
All the pricing data will reflect in the Accounting section under the accounting lines which are created for each of the pricing lines.
Clicking on Save button will save the data in the Pricing section.
1.2.2 Add Default Template
Clicking on this button would a default template to the Pricing section.
One can configure the default template from Administration -> Accounting Template.
Clicking on the Add button will open the Default Account Line Detail tab as below:
Here you can enter all the conditions like Job Type, contract, mode, etc.
Also, you can enter in the fields data in the Line Output Fields window like Quantity, Sell Rate, Buy rate, etc.
Clicking on Save button at the bottom of the screen will add the default template in the Default Account Line List.
Now if you create any service order with the matching conditions of Job Type, contract, etc that you earlier entered while adding the default template, and click on the Add Default Template button, the default accounting line will be created In the Pricing section of the O&I tab.
1.2.3 FX Update
Clicking on Fx Update will open a dialog box as below which will list all the pricing lines of both Estimate and Revision section. Here we can select one or multiple lines and update the Fx rates based on the current exchange rate value.
Further we can also deactivate any/all the pricing lines using the Inactivate button present at the bottom of the pricing section.
